Position: Administration and Procurement Officer
Placement: SAfAIDS Regional Office, Zimbabwe
SAfAIDS is a regional NGO working across the SADC region, as a trend-setter in promoting integrated effective and ethical development responses to SRHR, by enabling Gender Equality, Social Inclusion and Resilience for All. SAfAIDS is looking for an innovative, dynamic, versatile Administration and Procurement Officer (APO) for its Regional Office, Zimbabwe. The Administration and Procurement Officer is responsible for the procurement and management of goods, services, assets and equipment for the organization. She/he will ensure compliance of related tools and SOPs by staff, and conduct quarterly compliance checks on policy adherence at the Regional and Country Offices (remotely using virtual platforms). This position will review existing tools related to this scope of work, and develop new tools and templates, as required for greater efficiency thereof. She/he will support the Finance and Support Services (FSS) team with drafting SAfAIDS contracts, terms of reference and memoranda of understanding; as well as review and analyse contracts generated by external parties for SAfAIDS, in collaboration with the DD-FSS. She/ he will monitor and track all supplier or contract service level agreements (SLA) and ensure compliance to agreed terms of reference. The APO is responsible for ensuring an up-to-date suppliers list and consultancy database. She/ he will coordinate quarterly administration and procurement committee meetings and update DD-FSS on major areas of concern in the procurement value chain. This position will exert confidentiality and strategic thinking, as well as risk mitigation practices under all conditions. She/he ensures that all e-filing and physical filing systems are up to date and correctly categorized for administrative and procurement related documents, on a monthly basis.
- A minimum qualification of a relevant Degree in Administration/Logistics/Procurement or equivalent or related area. Qualifications for this position should be from certified and recognized institutions.
- A minimum of 2-3 years NGO relevant experience, relevant to the scope of work.
- Good understanding of the Procurement value chain and stakeholder management (suppliers & contractors).
- Excellent English written and verbal communication skills.
- Strong organizational skills, planning, coordination, negotiation and attention to detail.
- Advanced computer literacy skills including Ms Excel.
